Job Summary

Barnsley Healthcare Federation is looking for enthusiastic, team-oriented, flexible, and reliable individuals to join our Reception team at BHF.

The hours available are 16 hours a week:

  • Wednesday: 1.30pm – 6.30pm

  • Thursday & Friday: 1.00pm – 6.30pm

However, you may be asked from time to time to work outside of these hours to cover annual leave. Any changes to your usual shift patterns will be communicated by management.

Main Duties of the Job

As a receptionist, you will act as a focal point for the practice, communicating effectively between clinicians, staff, and patients.

You will need to demonstrate:

  • Previous administrative and customer service experience

  • Skills to adapt and prioritise duties of a busy reception desk

  • Calmness and focus in delivering a high standard of care to patients

  • Teamwork and excellent communication skills

  • Computer skills (clinical system experience is advantageous; training will be provided)

Job Description

Job Responsibilities

Patients:

  • Process appointment requests via telephone and in person

  • Process patient bookings manually or via system

  • Handle visit requests

  • Register new patients and temporary residents

  • Process address changes manually or through GP links

  • Manage repeat prescription requests

  • Accept and process specimens for collection

  • Understand appointment systems and slot types

  • Understand telephone systems (daytime and out of hours)

  • Data entry and information recording per GDPR

  • Take and pass on messages

  • Complete workflow tasks (e.g., recalls, results, scanning, read coding, discharge letters, patient deductions, SystmOne tasks, etc.)

Medical Records:

  • Manage records

  • Keep records tidy and updated with changes

  • Document all patient contacts

Reception:

  • Open premises and ensure rooms are ready

  • Organise appointments and communication

  • Maintain stock and equipment

  • Communicate with clinicians, patients, staff, and external agencies

Person Specification

Qualifications

Essential:

  • Educated to GCSE level or equivalent

Desirable:

  • GCSE Maths and English (9-4 / A*–C)

  • Customer Service Level 2 or equivalent

Experience

Essential:

  • Excellent written and spoken communication

  • Ability to liaise confidently with all levels

  • Understanding confidentiality

  • Able to work with limited supervision

Desirable:

  • Office admin/secretarial experience

  • Proficient in Office (Excel, Word, Outlook)

  • NHS/Public Sector knowledge

  • SystemOne experience

  • Understanding of GDPR

Skills

Essential:

  • Prioritise own workload

  • Multitasking and organisation

  • Problem-solving ability

  • Attention to detail

Desirable:

  • Experience in coding/summarising

Disposition/Personal

Essential:

  • Friendly and approachable
