An exciting opportunity has arisen within the Assisted Conception Unit (ACU) Finance Team for a full-time finance assistant to join our busy team.
This is a challenging and rewarding role where the post holder can make a direct positive impact on patient experience within the Trust.
The ACU offers a full range of fertility services including IVF, ICSI, Pre-Implantation Genetic Diagnosis, and Fertility Preservation. The service supports NHS, Self-Funded, and Personalised Private Care patients.

Main Duties of the Job
Reporting to the ACU Finance Team Manager, the Senior Finance Assistant will be responsible for:
Recording all income activity
Managing and processing ACU Finance billing
Controlling and recording patient payments in advance of treatment
Resolving finance-related queries
Planning and organising workload independently to meet objectives

Job Description
Job Responsibilities
Finance Operations & Reporting
Extract clinical activity data from BabySentry (BBS)
Ensure accurate monthly billing (Theatre & Non-Theatre activity)
Review and reconcile ACU deposit control account
Support Trust’s month-end reporting process
Investigate financial discrepancies and correct errors
Process credit notes and refunds
Use BabySentry, Compucare, and Oracle Fusion systems
Ensure accurate data entry and updates on BabySentry
Planning & Organisation
Independently plan and prioritise tasks
Document processes and apply controls
Help allocate work within the finance team
Meet all deadlines and performance targets
Communication
Communicate with patients by phone to resolve sensitive financial matters
Coordinate with FA, ITC, and Cashiers for corrections
Maintain confidentiality at all times
Ensure timeliness and accuracy in transactions
Follow and enforce internal financial procedures
Problem Solving & Service Development
Resolve complex financial queries
Recommend process improvements
Ensure accuracy and timeliness in processing
Person Specification
Qualifications
Essential:
NVQ Level 4 / AAT Technician Level or equivalent experience
Desirable:
Studying or planning to study for a professional qualification (e.g. CIMA, ACCA)
Experience & Knowledge
Essential:
Strong understanding of accounting procedures and finance systems
Experience in busy, income-generating departments
Familiar with monthly reporting, KPIs, and debtor management
Knowledge of BabySentry or similar software
Desirable:
Understanding of ACU treatments
Experience communicating with patients
Skills & Abilities
Essential:
Knowledge of patient confidentiality
Confident communication with patients and staff
Organised, detail-oriented, and deadline-driven
