Job Overview
A highly organised, proactive, and forward-thinking Personal Assistant is required to support the executive team at Dooh It Global, a rapidly expanding marketing agency. The role includes high-level administrative support and hands-on involvement in marketing-related tasks, ideal for someone experienced in a creative or marketing-focused environment.
The successful candidate will work directly with the Director on a day-to-day basis, helping to manage the Dooh It Global team and ensuring smooth operations across all departments. Responsibilities include scheduling, communication, team coordination, and project follow-through as the agency continues to grow.
This position requires exceptional communication skills, strong attention to detail, and the ability to manage multiple tasks in a fast-paced environment. Professionalism, discretion, and a proactive mindset are essential.
Key Duties
Working closely with the Director daily to support decision-making, coordination, and team management across the agency.
Managing calendars, scheduling appointments, and coordinating internal and external meetings with precision.
Assisting in the coordination of the Dooh It Global team, ensuring tasks are followed up and projects move smoothly.
Handling written and verbal correspondence via email, phone, and messaging platforms in a professional manner.
Supporting marketing activities, including content coordination, campaign organisation, and preparing marketing documents.
Preparing reports, presentations, proposals, and other documents using Microsoft Office and Google Workspace.
Data entry, invoice tracking, and maintaining accurate records using QuickBooks or similar software.
Organising travel arrangements, accommodation bookings, and itineraries for the Director and executives.
Assisting with personal errands and day-to-day tasks as required to support the Director.
Managing office supplies, liaising with vendors, and maintaining organised office systems.
Performing general administrative tasks including filing, photocopying, and maintaining digital files.
Ensuring confidentiality of sensitive information at all times and demonstrating excellent phone etiquette.
Experience & Requirements
Proven experience in a Personal Assistant, Executive Assistant, or senior administrative role.
Essential: Previous marketing experience, ideally within an agency or creative environment.
Strong knowledge of marketing functions such as content scheduling, campaign coordination, and client support.
Proficiency in Microsoft Office Suite and Google Workspace applications and CRMs.
Experience with Xero or similar software is desirable.
Strong organisational skills with the ability to prioritise and multitask effectively.
Excellent data entry and typing accuracy.
Experience working in an office environment with exposure to clerical duties and standard office procedures.
Confident, professional communication skills both written and verbal.
A proactive, motivated individual who is eager to grow alongside the Director and the wider agency team.
