Job Summary

The North London Health Centre is looking to recruit an enthusiastic and reliable individual to join our Reception team to cover Maternity Leave.

  • This is an in-person role, 30 hours per week over 5 days (Monday to Friday).

  • Shifts will be 6 hours per day either starting at 8:00am or 12:30pm.

  • Remote work is not available for this position.

  • Applicants must be flexible with availability between 8:00am – 6:30pm, including holiday and sickness cover.

  • Previous experience in a similar role is essential.

  • Ability to work under own initiative and contribute to team efforts is required.

Main Duties of the Job

  • Make appointments and book patients in upon arrival

  • Provide a helpful and friendly service to patients

  • Answer telephones promptly and cover all incoming lines

  • Complete and manage daily tasks

  • Respond to incoming practice emails

  • Comply with all practice procedures, regulations, and maintain patient confidentiality

  • Collaborate efficiently with internal teams

  • Undertake other duties deemed appropriate by the Practice

  • Action repeat prescription requests promptly

  • Open mail and ensure all correspondence is scanned and attached to patients’ records

Job Description

Reception Duties

  • Monitor patient arrivals and flow into consulting/treatment rooms

  • Ensure urgent patients without appointments are seen logically and without disruption

  • Explain practice policies to new/temporary patients

  • Advise patients of private service charges, process payments, and issue receipts

  • Respond to all patient and visitor queries

  • Maintain cleanliness of reception and waiting areas

Appointment System Management

  • Understand all appointment systems, including variations

  • Book appointments and recalls

  • Monitor system effectiveness and report issues

Telephone System Operations

  • Receive and make calls

  • Divert and take messages appropriately

Start and End of Day Procedures

  • Open premises and prepare to receive patients

  • Secure premises, switch off internal lights, and activate alarms

General Responsibilities

  • Maintain familiarity with relevant computer programs

  • Keep the work area clean and organized

  • Report any issues or variations in systems

Special Requirements

  • Maintain strict patient confidentiality

  • Use judgment, resourcefulness, and common sense in patient interactions

  • Demonstrate excellent communication and secretarial skills

Person Specification

Experience – Essential

  • Experience in a GP Practice and knowledge of EMIS

  • Experience working with the general public

  • Administrative experience

  • Ability to work in a high-pressure, fast-paced environment

Qualifications – Essential

  • Educated to GCSE level or equivalent

  • GCSE Mathematics and English (C or above)
