Main Duties

  • Liaise with patients, professionals, local authorities, and external agencies.

  • Foster good working relationships using communication and interpersonal skills.

  • Handle routine information tactfully, persuasively, and empathetically, especially when dealing with distressed clients or carers.

  • Reception duties, including greeting clients and visitors.

  • Seek advice for urgent calls using good judgment skills.

  • Organise daily work processes as part of the team, providing admin support to the LPMHS.

  • Maintain filing systems and databases.

  • Handle incoming and outgoing mail.

  • Undertake photocopying and liaise with relevant colleagues/departments.

  • Perform data entry tasks, including making and updating appointment outcomes.

  • Use Health Board and Local Authority clinical systems frequently.

  • Deal sensitively with clients in person and over the phone.

  • Manage distressing circumstances and sensitive correspondence.

  • Work independently within standard operating procedures when unsupervised or off-site.

  • Ensure safe use of all equipment and report faults.

  • Secure all work areas before leaving at the end of the day.

  • Participate in performance appraisals and maintain a personal portfolio.

  • Store electronic information according to Directorate procedures.

  • Assist the Administration Support Manager with departmental audits when required.

Welsh Language Skills

  • Desirable – Level 3 Speaking & Listening (CEFR B2 or above).

Qualifications & Knowledge

Essential:

  • NVQ II in administration or equivalent relevant experience.

  • RSA II typing qualification or equivalent.

  • Knowledge of administrative and clerical procedures.

  • Knowledge of database use.

Desirable:

  • Knowledge of Myrddin, FACE, and WCCIS.

  • Audio typing qualification.

  • Knowledge of medical terminology.

  • NVQ II in Business Administration and/or Customer Care.

Skills & Attributes

Essential:

  • Good interpersonal, communication, and listening skills.

  • Non-judgemental and sensitive to mental health issues.

  • Transferable IT skills to new applications.

  • Previous office experience.

  • Audio typing experience.

  • Database use experience.

Desirable:

  • NHS work experience.

Other Requirements

Essential:

  • Flexible approach to meet service needs.

  • Ability to travel to any site managed by the Mental Health Directorate promptly.
