Job Overview
The Virtual Personal Assistant role involves acting as a Switchboard Operator on weekends, handling incoming calls for high-profile clients, and completing data-related administrative tasks using Excel.
Applicants must commit to an eight-week, full-time, office-based induction (Mon–Fri, 9am–5pm) before moving onto the weekend rota.

Main Responsibilities
Answer all calls with politeness, proficiency, personality, and professionalism
Meet SLA requirements for calls and handle them according to customer needs
Respond to inbound emails in line with client requirements
Deliver high-quality customer service at all times
Complete administrative tasks such as managing directories and updating client data
Take accurate and detailed messages, sending them promptly
Use bespoke computer systems to direct callers to the correct department/person
Liaise with colleagues to provide effective client service
Support and advise colleagues where possible
Complete tasks listed on the Team Checklist as requested by Team Leaders
Screen phone calls, enquiries, and requests in line with client instructions
Maintain confidentiality and follow data protection agreements
Adhere to cyber security and building security procedures
Log information promptly and accurately for billing purposes
Prioritise and juggle multiple tasks with flexibility and adaptability
Report concerns to Team Leaders when necessary
Maintain a safe and clean working environment
Experience and Qualifications
Experience:
Previous telephone customer service experience (essential)
Experience with Microsoft Word, Outlook, and Excel
Qualifications:
Minimum GCSE or equivalent
NVQ in Customer Service (advantage)
Strengths Required
Excellent telephone manner with passion for first-class service
Positive ‘can-do’ attitude
Willingness to work whole weekends on a regular basis
