Role Overview

The Executive Assistant will support the Executive Support Manager and the Executive team. Responsibilities include day-to-day executive support, administrative coordination, and event management to ensure smooth functioning across teams.

Work Location: Predominantly remote, with occasional travel to Leeds, Thame (Oxfordshire), and London (typically 2-3 days per month).

Key Responsibilities

Executive Support

  • Provide PA support including diary management, travel bookings, and administrative assistance for the Chief Growth Officer, Chief Technology Officer, Chief Finance Officer, and Head of People.

  • Deputise for the Executive Support Manager, including note-taking and PA support for the entire Executive team.

People Experience (PX) Support

  • Assist with local recruitment processes.

  • Arrange induction meetings with the Executive team for new starters.

  • Support employee engagement initiatives and other PX processes.

Document & Information Management

  • Maintain electronic filing systems using SharePoint and Confluence.

  • Ensure accurate and accessible storage of policies, procedures, educational materials, registers, and logs.

  • Distribute documents for signature using Adobe Sign.

Event Coordination

  • Manage the internal UK Events calendar and mailbox.

  • Organise logistics for bi-weekly collaboration days, Executive Team offsites, Campus Days, staff social events, and ad hoc events (booking meeting rooms, catering, agendas).

  • Support the Executive Support Manager with arrangements for the annual PEXA Group Board UK visit.

Skills & Experience Required

Skills

  • Experience in executive support, including diary management.

  • Exceptional administrative, organisational, and time-management skills.

  • Proven track record of delivery, using initiative to complete tasks.

  • Experience working in a flexible and dynamic environment.

  • Confident in dealing with a range of stakeholders, demonstrating diplomacy and persistence.

  • Strong communication skills, with the ability to tailor communication to the audience, protect confidentiality, and exercise discretion.

  • Proficient in Microsoft Office products.
